A workplace for the future - KIB invests in the hybrid way of working

In the wake of the pandemic, KIB has invested in creating a work environment that both reflects and strengthens the hybrid way of working. With a focus on innovation and collaboration, the premises have been designed to combine thoughtful design, functionality and modern technology. The aim has been to create a workplace that inspires collaboration, focus and creativity, while maximising usability.

At KIB, it is a matter of course to work towards common goals where all employees contribute. This project is no exception, but a clear example of KIB's inclusive and goal-oriented approach.

A workplace for a new era

The premises have been customised to support integrated hybrid working. From meeting rooms to flexible workspaces, each space is designed to facilitate both digital and physical work. We started from questions like: What makes us want to be at the office? And what do we need to do when we are there? How can we use our premises as efficiently as possible? says Ingrid, HR Manager at KIB.

KIB's hybrid environment is about meeting different needs during the working day.  

- ‘The space should not only suit our way of working, but also make it easy to switch between focus work and collaboration,’ says Sofia, project manager. ‘We have also thought about promoting social interaction, something that many people want when we come into the office.

The environments are designed to promote socialising and collaboration, where employees can easily meet, exchange ideas and work together. Places like the Coffice and the creative spaces create natural meeting points that invite both spontaneous conversations and structured collaboration. They provide a space for creativity, dialogue and community, which strengthens team spirit and inspires new ways of solving tasks.

Technology plays a crucial role in hybrid working.

- ‘We have equipped the premises with modern and easy-to-use technology,’ says Peter, Technology Manager. With AI cameras, in-built speakers, high-quality screens and plug-and-play solutions, you can quickly connect and get started wherever you work.

Transparency, participation and cross-functional teams

The project has been run with an inclusive approach, where competencies from HR, technology, facilities, communication and management have worked together. Employee needs have been in focus all the way, and the team has continuously collected feedback and communicated about each step of the project to promote participation.

"We have been careful to involve everyone concerned and to be transparent,’ says Emma-Lotta. ‘By maintaining an open dialogue, we have shown that the changes are based on the needs expressed by the employees themselves,’ Sofia adds.

Focus on learning and development 

The project has been implemented in stages, with one campus at a time being adapted to be evaluated and improved for the next stage.

- Working iteratively has helped us to learn as we go,” says Sofia.

For those planning similar projects, Sofia offers three pieces of advice:

  • Involve those affected by the changes at all stages.
  • Be curious about their needs and try to meet as many as possible.
  • When you can't, be clear and explain why. Transparency and clear communication are key to building understanding and commitment. 

Challenges in the project  

According to the team, the project has faced surprisingly few challenges, but some aspects have required extra attention and management.

- One of the initial challenges was dealing with the concerns expressed by some staff and groups. Changes in the working environment can create uncertainty, and it was important to address these concerns in a constructive way. By developing tailored solutions and giving the process time, we were able to build trust and reduce resistance,” says Sofia.

A workplace in line with KIB's vision

The aim of the hybrid workplace has been to create an environment where employees thrive, feel supported in their work and are inspired to develop and contribute. The fact that management wanted to invest in this early on and supported the overall goal has been crucial. Dialogue, openness and an agile approach have been the key words on the way there.

  • Flexible work-spaces divided into creative areas, medium-focus areas, and quiet areas.
  • Easy to switch workspaces during the day depending on work tasks.
  • More meeting rooms and screened-off spaces for hybrid meetings.
  • Simplified and improved technology.
  • Easy to report faults for individual workplaces and meeting rooms via QR code.
  • Mini gyms at both campuses for active breaks.
  • Developed the concept of Coffice for both work and socializing.
